The University of Illinois Foundation (Foundation) is the official fundraising and private gift-receiving organization of the University of Illinois (University).  It works closely with alumni and friends, faculty and staff, corporations and foundations, as well as campus development professionals to create fundraising programs and opportunities that benefit the University. 

Full Job Description:

The Assistant Manager, Gift Documentation will serve as a member of the gift planning operations team in documenting charitable gifts made to the University of Illinois Foundation (UIF). The Assistant Manager will draft agreements and work collaboratively with advancement colleagues across the University of Illinois System to help ensure that donors’ intentions for giving to the University are accurately documented and that the priorities of the University are financially supported.


  • Prepares donor gift agreements and other forms of gift documentation in partnership with central and unit development staff from all three universities of the University of Illinois System and in conformance with approved documentation guidelines;
  • Provides accurate and timely assistance to development officers, outside advisors, and donors regarding gift documentation and the structure of gifts;
  • Collaborates with UIF gift administration, university stewardship staff, and gift officers to resolve issues related to the structure of gifts;
  • Ensures that donors’ intentions for making gifts are documented and outlined in accordance with Foundation and University administrative procedures and processes;
  • Utilizes technology to prepare and transmit documents and provide reports on gift and estate documentation efforts;
  • Assists with training and advising advancement staff on gift documentation;
  • Maintains full knowledge of applicable policies, procedures, and laws, associated with gift agreements and charitable giving; and
  • Performs other duties as assigned.



  • Bachelor’s degree
  • Proven skills in drafting and editing technical documents;
  • Experience in collaborating and achieving goals within a controlled framework of processes and policies;
  • Demonstrated attention to detail in daily work;
  • Ability to interact and build positive relationships with internal and external constituents;
  • Strong analytical skills and the ability to solve problems independently; and
  • Ability to maintain confidentiality.



  • Work experience in a structured service-oriented office environment;
  • Two to five years of experience in higher education advancement or a non-profit organization;
  • Legal degree; experience in a law firm; or other related experiences working with contracts and agreements; and
  • Knowledge in charitable giving techniques and related laws and regulations;
