Specialist, Gift Administration

The University of Illinois Foundation (Foundation) is the official fundraising and private gift-receiving organization of the University of Illinois (University).  It works closely with alumni and friends, faculty and staff, corporations and foundations, as well as campus development professionals to create fundraising programs and opportunities that benefit the University. 


Establishes, coordinates, reviews and evaluates donor intent procedures.  Provides timely, accurate information to inquiries from various constituencies.  Participates in the administration and operation of Foundation funds, particularly endowment funds. Coordinates and presents training materials to end users in both large and small settings.


  1. Monitors the administration of donor intent of gift funds, including establishing, implementing, reviewing and evaluating procedures and processes related to donor intent.
  2. Collaborates with University Accounting Services, Foundation Accounting, University units or donors to ensure donor intent, administration, expenditure review efforts and updates for gift funds.
  3. Assists with the governing document review process.
  4. Participates in and/or presents Gift Administration training sessions as requested by the Director. Provides training on an individual or unit basis.
  5. Assists in review of documents produced for donors.
  6. Monitors and maintains data integrity of the Foundation databases, systems and files used.
  7. Utilizes broad knowledge of Foundation and University policies, procedures, operations, services and available information to respond with professional skill to inquiries from faculty, staff, constituents and donors.
  8. Creates and prepares statistical reports for area(s) of specialty and/or as requested by Director of Gift Administration and/or other Foundation Development Services staff as requested or referred by the Director.
  9. Attends meetings and works on projects related to the specialized area of responsibility or as requested by the Director of Gift Administration.
  10. Answers inquiries and resolves problems referred by the Director of Gift Administration.
  11. Performs related duties as assigned by Director of Gift Administration.


  • Bachelor’s degree with a minimum of three years related work experience
  • Strong customer services skills
  • Ability to present training materials to end users in both large and small settings;
  • Ability to work independently and as part of a team;
  • Ability to recognize and set priorities and coordinate work in order to meet deadlines;
  • Excellent organizational, interpersonal, and communication skills;
  • Ability to work with diverse constituent groups;
  • Attention to detail and accuracy;
  • Ability to learn and master position-related software and databases;
  • Ability to exercise courtesy, tact and flexibility.
  • Familiarity with database and data/report generation applications and a working knowledge of Microsoft Office applications;


  • Experience with accounting or business-related fields;
  • Experience with the donor Tracking and Engagement Database (TED) and Banner;
  • Knowledge of University of Illinois Foundation and University of Illinois administrative systems and procedures;
  • Familiarity with University Advancement activities.
